Who We Are Looking For

IAP2 Canada is seeking an organized, proactive, and detail-oriented Executive Coordinator to provide administrative, operational, and governance support to the Executive Director and Board of Directors. This role requires someone who thrives in a fast-paced virtual environment, is highly skilled in managing projects, coordinating multiple stakeholders, and ensuring seamless operations.

The ideal candidate will be an excellent communicator, highly adaptable, and able to anticipate needs before they arise. Location: Remote (Canada)


Key Responsibilities

Executive & Board Support
  • Manage the Executive Director’s calendar, scheduling, and correspondence.
  • Prepare meeting materials, agendas, and minutes for board and committee meetings.
  • Support governance activities, including policy tracking, document management, and compliance monitoring.
  • Act as a primary liaison for internal and external communications on behalf of the ED.
Operations & Office Management
  • Maintain organizational records, contracts, and documentation.
  • Support the membership database and general inquiries.
  • Assist with financial processes, including expense tracking, invoice processing, and budgeting support.
Event & Project Coordination
  • Support virtual and in-person events, including board retreats, conferences, and training sessions.
  • Coordinate logistics for internal and external meetings, ensuring smooth execution.
  • Assist in tracking and reporting on organizational performance metrics.
Qualifications & Experience
  • 3+ years of experience in executive administration, nonprofit coordination, or governance support.
  • Strong written and verbal communication.
  • Able to take initiative, problem solve, and see things through a solution focused lens.
  • Strong organizational and project management skills with the ability to multitask.
  • Proficiency in Microsoft Office, Google Workspace, virtual meeting platforms (Zoom, Teams), and CRM/database management.
  • Excellent written and verbal communication skills with a keen eye for detail.
  • Experience working in a remote/virtual team environment.
  • Bilingualism (English/French) is an asset.

Compensation & Benefits
  • Actual salaries may vary based on factors, such as skill, experience,locationand qualifications for therole. 
  • 2025 annual salary range is $70,000 - $80,000 CAD
  • Comprehensive Health & Benefit plan.
